Effective date: 10 August 2026 Mainstay Supply Co. (Pty) Ltd (“Mainstay”, “we”, “us”) supplies wholesale staple foods, transport and storage services in the Western Cape, South Africa. We respect your privacy and comply with the Protection of Personal Information Act, 2013 (POPIA). This policy explains, in plain language, what personal information we collect, why we collect it, and the choices you have.

Who is responsible for your information

What we collect

  • Contact and account details: your name, business or shop name, address, phone and WhatsApp number, and email, when you contact us, open an account, sign a letter of intent or place an order.
  • Order and trading information: what you order, delivery details, invoices and payment records.
  • Credit application information: where you apply for a credit account, the information in the application, including identity, business registration, banking details, trade references and consent to a credit bureau check.
  • Website information: basic technical data such as browser type and pages visited, collected through cookies and analytics, used only to run and improve the site.

We collect this information directly from you, and, for credit applications only and with your consent, from credit bureaus and the trade references you provide.

Why we use it

  • To respond when you contact us, and to set up and manage your account.
  • To take orders, deliver stock, provide transport and storage services, and invoice correctly.
  • To assess and manage credit accounts, where you apply for one.
  • To send you practical service messages, such as price lists, route days and order confirmations, on WhatsApp or email, where you have asked for them. You can opt out at any time.
  • To meet our legal obligations, including tax and accounting law.

We do not sell your personal information, and we do not send you marketing unrelated to our services.

Who we share it with

  • Service providers who help us operate, such as our accountants, IT and website hosting, banking and payment providers, under confidentiality obligations.
  • Credit bureaus and trade references, only in connection with a credit application you have made.
  • Funding partners: where you have signed a letter of intent that says so, we may share it as proof of customer demand, with your contact details removed.
  • Authorities, where the law requires it.

Your information stays in South Africa unless a service provider we use stores data elsewhere, in which case we make sure equivalent protection applies.

How long we keep it

We keep personal information only as long as we need it for the purposes above, and thereafter as required by law: for example, invoices and accounting records must by law be kept for a number of years. When information is no longer needed, we delete or de-identify it.

How we protect it

We use reasonable, appropriate safeguards to protect personal information against loss, misuse and unauthorised access, including access controls on our systems and confidentiality obligations on our people and providers. No system is perfectly secure, but if a breach ever affects your information, we will notify you and the Information Regulator as POPIA requires.

Your rights

Our services are for businesses and adults. We do not knowingly collect personal information from children.
